Why Your Business Email Goes to Spam, and How to Fix It

You send a quotation to a customer and hear nothing back. Later you learn that it landed in spam. This often has nothing to do with what you wrote.
Mail systems want proof that a message really came from your business. They look for it in your domain's DNS, and three records matter most.
SPF lists the servers allowed to send email for your domain. Without it, a receiving system cannot tell your real email from a fake one.
DKIM adds a hidden digital signature to each message, which shows that it was not changed on the way. Your email provider gives you the record to add.
DMARC tells other systems what to do when a message fails these checks. Start in monitoring mode, read the reports, then move to a stricter setting once your real email passes.
Other things matter as well. Sending bulk mail from a normal mailbox, using a free address for business or sending to many old addresses can all hurt your reputation.
Our free business email check reads your MX, SPF and DMARC records in seconds. DKIM cannot be checked this way without knowing your provider's selector, so ask your provider to confirm it.
